1. Reservation & Booking Agreement
By completing a reservation with Executive Inn Express ("the Hotel"), you ("the Guest") agree to be bound by these Terms and Conditions in their entirety. A reservation is only confirmed upon receipt of a valid credit or debit card guarantee and the Hotel's issuance of a written confirmation number. The Hotel reserves the right to refuse or cancel any reservation at its sole discretion, with or without cause, provided that any prepaid amounts are returned in full where no fault lies with the Guest.
2. Cancellation Policy
Guests may cancel their reservation without penalty provided the cancellation is received by the Hotel no later than 48 hours prior to the scheduled check-in date and time (based on the Hotel's local time, Central Time Zone). Cancellations must be communicated directly to the Hotel by telephone or email, and a cancellation confirmation number must be obtained.
Notwithstanding the above cancellation window, all reservations are strictly non-refundable. The Hotel will accept a cancellation request within the specified window as a courtesy release of the reservation, but no monetary refund will be issued under any circumstance, including but not limited to:
- Guest illness, injury, or personal emergency
- Flight delays, cancellations, or transportation issues
- Weather conditions or natural disasters (unless declared a federal emergency)
- Change of travel plans or personal preference
- Failure to arrive (no-show)
Failure to cancel within the 48-hour window will result in a no-show charge equal to the first night's room rate, charged to the card on file.
3. Check-In & Check-Out
Standard check-in time is 3:00 PM Central Time. Standard check-out time is 11:00 AM Central Time. Early check-in and late check-out are subject to availability and may be subject to additional charges. Guests must present a valid government-issued photo identification and the credit/debit card used to guarantee the reservation at time of check-in. The Hotel reserves the right to charge the card on file for the full room rate and applicable taxes upon check-in.
4. Payment & Charges
Full payment for the reservation is due at check-in. The Hotel accepts major credit cards (Visa, Mastercard, American Express, Discover) and cash. A credit card authorization hold may be placed on the card for incidental expenses at the time of check-in. Any incidental charges, damages, or additional fees will be charged to the card on file. All room rates are subject to applicable state and local taxes.
5. Card Guarantee Policy
All reservations require a valid credit or debit card to secure the booking. The Hotel stores only the card type and last four digits of the card number for identification and guarantee purposes. Full card numbers, security codes, and expiration dates are not retained in our systems. By providing card guarantee information, the Guest authorizes the Hotel to charge the card in the event of a no-show or late cancellation as described above.
6. Room Assignment
The Hotel guarantees a room of the reserved type and category but does not guarantee a specific room number, floor, or view. Room assignments are made at the Hotel's discretion based on availability at time of check-in. Special requests are noted and the Hotel will make every reasonable effort to accommodate them, but special requests are not guaranteed and do not form part of the reservation contract.
7. Guest Conduct & Property Policies
- The Hotel is entirely non-smoking. Smoking inside any Hotel room or common area will result in a minimum deep-cleaning fee of $250 charged to the card on file.
- Quiet hours are observed from 10:00 PM to 7:00 AM. Guests causing disturbance may be asked to vacate the premises without refund.
- Unauthorized guests or visitors in guest rooms are prohibited after 10:00 PM.
- Pets are not permitted on the property unless they are certified service animals as defined by the Americans with Disabilities Act (ADA).
- Guests are responsible for any damage caused to Hotel property during their stay. The cost of repairs or replacement will be charged to the card on file.
8. Limitation of Liability
The Hotel shall not be liable for any loss, damage, theft, or injury to Guests or their personal property during their stay, except where such loss or damage results directly from the Hotel's gross negligence or willful misconduct. Guests are encouraged to utilize in-room safes and report any security concerns to the Front Desk immediately. The Hotel's liability shall not exceed the total amount paid for the reservation in question.
9. Privacy Policy
The Hotel collects Guest information solely for the purpose of processing and managing reservations, providing services, and complying with legal obligations. Guest information is never sold or rented to third parties. The Hotel employs industry-standard security measures to protect Guest data. By completing a reservation, Guests consent to the collection and use of their information as described herein.
10. Force Majeure
Neither party shall be liable for failure to perform obligations under these Terms due to circumstances beyond their reasonable control, including but not limited to acts of God, government actions, pandemics, natural disasters, or civil unrest. In such events, the Hotel will make reasonable efforts to provide alternative accommodations or issue a credit for a future stay.
11. Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of Arkansas. Any disputes arising from or relating to a reservation shall be subject to the exclusive jurisdiction of the courts of Jefferson County, Arkansas.
